Why we exist

Too many NZ schools are stuck with outdated policy management: shared drives, manual processes, expensive roll-based pricing from the incumbent. We think schools deserve better tools, and we built Policybase to provide them.

The problem

School policy management in New Zealand is a mess. Policies live across shared drives, email threads, and paper folders. Legislation changes go unnoticed. Reviews are overdue. New staff don’t know which policies apply to them.

The dominant provider in the market has limited technology, no AI, expensive roll-based pricing, and no staff onboarding tools.

What we do differently

1. AI that helps with the heavy lifting Use AI to draft policies, find gaps, and check compliance against NZ legislation. The AI handles research and drafting; you make the decisions.

2. The full policy lifecycle in one place Creation, review, community consultation, staff acknowledgement. One platform instead of five different tools.

3. Open-source policy templates Our base policy templates are open source and free for any school to use, whether you’re a Policybase customer or not. Schools can also contribute improvements back to the project.

4. No games on pricing Our pricing is on the website. Your data is exportable anytime. We earn your business through value, not lock-in.

Who we are

Policybase started because a board member at a small NZ school got fed up with the available options. The tools were outdated, overpriced, and didn’t do what schools actually needed. He also happened to have decades of software development experience, and decided to build something better.

We’re a small team, close to schools, and we use the product ourselves.
